How to Securely Share Passwords with Your CSM

When your Customer Success Manager (CSM) needs login credentials to help set up an integration or troubleshoot an issue, please don't send passwords in plain email or chat. Instead, use Bitwarden Send, a free tool that creates an encrypted, self-destructing link. Only someone with the link can view it, and it disappears automatically after the time you set.

What you'll need: a free Bitwarden account (takes about 2 minutes to create). Your CSM does not need a Bitwarden account to open the link.

Step 1: Create a free Bitwarden account

  1. Go to bitwarden.com and click Get Started.

  2. Choose the Free plan and sign up with your email address.

  3. Create a strong master password. This is the one password Bitwarden can't recover for you, so store it somewhere safe.

You can use Bitwarden in your browser at vault.bitwarden.com, or download the desktop or mobile app if you prefer. Everything below works the same either way.

Step 2: Create a Send

  1. Log in to Bitwarden and click Send in the left menu.

  2. Click New Send (or the + button).

  3. Choose Text as the type. (File sends require a paid plan; text is all you need.)

  4. Give it a name you'll recognize, such as "Accounting system login."

  5. In the text field, paste the username and password your CSM needs.

  6. Check Hide text by default so the password stays masked until your CSM clicks to reveal it.

Step 3: Set an expiration

  1. Set a Deletion date. This is when the Send is permanently erased. One day is usually plenty.

  2. Optional, for extra security:

    • Set a Maximum access count of 1 so the link can only be opened once.

    • Add a password to the Send itself. If you do, share that password with your CSM through a different channel than the link, such as a phone call or text message. Sending both in the same email defeats the purpose.

Step 4: Share the link

  1. Click Save, then click Copy link.

  2. Email or message the link to your CSM.

That's it. Once your CSM has confirmed they've received the credentials, the Send will expire on its own. No further cleanup is needed.

Frequently asked questions

Can Bitwarden see my password?
No. Sends are end-to-end encrypted, so only someone with the link can decrypt and view the contents.

What if the link expires before my CSM opens it?
Just create a new Send and share the new link.

Should I change the password after sharing it?
If the credentials were for temporary access, it's good practice to update the password once your CSM has finished the work. Your CSM can let you know when that's the case.
