Connecting Shopify to Sutton: A Step-by-Step Guide

Connect your Shopify store to Sutton to automatically import orders, sync fulfillments, and manage inventory from one place.

What this integration does

The Shopify integration connects your store to Sutton, so your team can manage the full order and fulfillment lifecycle without switching between systems. Sutton acts as your warehouse execution system. All inventory movements are recorded in Sutton, whether your team fulfills orders in Sutton or in Shopify.

✅ Best practice: Before enabling stock sync, make sure your Sutton inventory is accurate and up to date. Sutton pushes your current quantities to Shopify as soon as you turn it on.

Connecting Shopify to Sutton

Getting started

Navigate to the integration setup from your Sutton settings.

  1. Go to Settings in the left-side panel.

  2. Click Integrations.

  3. Locate Shopify and click Get started.

A setup modal will appear, guiding you through three steps: Connect, Configure, and Import & sync.

Step 1: Connect your Shopify store

Authorize Sutton to connect to your Shopify account.

  1. Click Connect to Shopify. A pop-up window will appear, prompting you to enter your store URL.

  2. Enter your store URL in the format your-store-name.myshopify.com and click Connect Shopify.

  3. If this is your first time connecting Sutton to this Shopify store, Shopify will ask you to grant access. On the Update data access screen, review the permissions and click Update to allow Sutton to view and edit your store data.

  4. When the connection is successful, the pop-up will display Authentication Complete!. Close the window.

  5. Back in the modal, the Connect step will show a Connected status. Click Next.


Step 2: Configure your sync settings

Choose which orders Sutton should import from your Shopify store.

Set a Start date to control how far back Sutton imports historical orders. Leave blank to import all existing orders.

  1. Select the order statuses you want to sync (for example, Paid/Unfulfilled for active orders).

  2. Click Next.

✅ Best practice: For your initial setup, start with a recent date and only active order statuses. Once you've confirmed everything is working, you can import older orders separately.

Step 3: Import & sync

Start the import to bring your Shopify products, customers, and orders into Sutton.

The modal will display a summary of what will be imported — Products and Orders for both Sutton and Shopify. Review the notice: Importing and syncing can overwrite data. To be safe, back up your Shopify data first.

  1. Click Start import.

  2. The button will change to Importing…. You can click Close & notify me to continue working and receive a notification when the import is complete.

  3. Once complete, the modal will confirm Import complete, sync on. Click Close.

📘 Note: After the first import, Sutton keeps importing new Shopify orders automatically, about every 10 minutes. Fulfillment sync and stock sync are off by default. To turn them on, see Setting up fulfillment and stock sync below.

Shopify is now connected

Your Shopify store now appears under Connected integrations in Settings → Integrations, showing your store URL and a Sync on status.

Connecting additional stores

To connect another Shopify store, scroll down on the Integrations page to find the Shopify tile again and repeat the steps above. Each connected store appears as a separate card showing its store URL and has its own independent sync settings.

How Sutton determines sync behavior

Sutton applies a few automatic rules when syncing orders and fulfillment locations from Shopify.

Order sync: Sutton only imports orders that have a billing address, a shipping address, or both. Orders with neither are skipped.

Fulfillment location: When an order comes in, Sutton assigns a fulfillment location to each line item using this priority:

  1. If you've set up location mappings, Sutton selects a mapped location that's a valid ship-from address, preferring your organization's default fulfillment location if it's one of the mapped options.

  2. If no mapping applies, Sutton uses your organization's default fulfillment location (if you've set one).

  3. If neither applies, the fulfillment location is left blank.

📘 Sutton Scoop: If Sutton assigns the wrong fulfillment location, you can edit the sales order to change or add the address. Your edit sticks; later order imports won't overwrite it.

Setting up fulfillment and stock sync

Once your store is connected, you can choose how Sutton syncs fulfillments with Shopify and whether to push stock levels. Both are off by default. To configure, go to Settings → Integrations and click Settings on your connected Shopify store.

📘 Note: After choosing a fulfillment sync option or enabling stock sync, you’ll need to map your Sutton locations to Shopify locations for the sync to work. See Setting up location mapping below.

Choosing a fulfillment sync option

The Sync order fulfillments with Shopify dropdown controls which direction fulfillments sync. You can choose one option at a time:

  • Push fulfillments from Sutton to Shopify: completing a shipment in Sutton creates a fulfillment in Shopify.

  • Pull fulfillments from Shopify into Sutton (Beta): fulfillments created in Shopify are recorded as shipments in Sutton.

  • Don’t sync fulfillments: fulfillments are not shared in either direction.

Push fulfillments from Sutton to Shopify

  1. In the Sync order fulfillments with Shopify dropdown, select Push fulfillments from Sutton to Shopify.

  2. A confirmation modal will appear before you sync fulfillments. Review the details before continuing.

  3. Click Turn on sync to confirm.

  4. In the Locations table, use the Sync fulfillments toggle per location to control which locations sync fulfillments.

  5. Click Save.

A fulfillment is pushed to Shopify when a shipment moves to Shipped status in Sutton, and all of the following are true:

  • The sales order originated in Shopify

  • Sync order fulfillments with Shopify is set to Push fulfillments from Sutton to Shopify

  • The shipment’s Sutton location is mapped to a Shopify location

  • Sync fulfillments is on for that mapped location

If any of these are not true, the shipment completes normally in Sutton, but no fulfillment is sent to Shopify.

⚠️ Heads up: Fulfillment sync only applies going forward; existing shipments will not be backfilled. Only shipments from mapped locations will sync.

Pull fulfillments from Shopify into Sutton

  1. In the Sync order fulfillments with Shopify dropdown, select Pull fulfillments from Shopify into Sutton.

  2. The Before you pull fulfillments from Shopify modal will appear. Review how inventory is handled, then click Pull fulfillments.

  3. In the Locations table, use the Sync fulfillments toggle per location to control which locations sync fulfillments.

  4. Click Save.

Sutton checks Shopify for new fulfillments every 10 minutes and records each one as a shipment on the matching sales order.

⚠️ Heads up: Only orders created after you switch to this option will sync. Fulfillments that contain serialized items are skipped.

Enabling stock sync

When stock sync is on, Sutton becomes the source of truth for inventory. Any change to available inventory in Sutton is automatically pushed to Shopify.

  1. Toggle on Push stock levels to Shopify.

  2. A confirmation modal will appear "Pushing inventory levels back to Shopify." Check all three boxes to confirm:

    1. I've confirmed item SKUs: all items you want to sync have unique, matching SKUs in both Sutton and Shopify

    2. I've verified stock levels: current Sutton quantities are accurate and will be pushed to Shopify immediately

    3. I understand: Shopify returns and manual adjustments in Shopify will not sync back to Sutton and must be updated manually

  3. Once all boxes are checked, click Turn on sync.

  4. In the Locations table, use the Push stock levels toggle per location to control which locations sync inventory.

  5. Click Save.

A stock sync fires whenever the available quantity for an item changes at a synced location in Sutton. This includes:

  • Stock picked for a shipment, manufacturing order, or transfer order

  • Inventory received from a purchase order

  • Inventory created manually or by a completed manufacturing order

  • A manual inventory adjustment

  • Inventory moved between locations

⚠️ This can't be undone. Enabling stock sync immediately pushes your current Sutton quantities to Shopify and overwrites any existing Shopify stock levels.

Setting up location mapping

Location mapping is required before you can use fulfillment sync or stock sync. It tells Sutton which of your warehouse locations corresponds to which Shopify location.

  1. Under Push updates, choose a push or pull option in Sync order fulfillments with Shopify, or turn on Push stock levels to Shopify. The Locations table will appear below.

  2. For each Sutton location in the table, select the corresponding Shopify location from the dropdown. Leave unselected for any Sutton locations that should not sync to Shopify.

  3. Click Save.

📘 Note: Each Sutton location can be mapped to only one Shopify location per store. Fulfillments and stock levels only sync for mapped locations.

FAQ

General questions

Will my customers be notified when I ship an order in Sutton?

If Sync order fulfillments with Shopify is set to Push fulfillments from Sutton to Shopify, completing a shipment in Sutton creates a fulfillment in Shopify. Whether your customers receive a notification email depends on your Shopify notification settings.

If you pull fulfillments from Shopify, shipments made in Sutton aren't sent to Shopify.

Can I connect more than one Shopify store?

Yes. Each store connects separately and has its own sync settings, location mappings, and fulfillment and stock sync. A single Sutton location can be mapped to locations across multiple stores. A stock change in that Sutton location will push an update to all linked Shopify stores where that item exists.

How are items matched between Sutton and Shopify?

Sutton matches items by SKU. Each item needs a unique, matching SKU in both Sutton and Shopify for the match to work.

If you change an item's SKU in Sutton, Sutton unlinks it from its current Shopify match so it can be matched again using the new SKU

What happens if I change a location mapping after sync is already running?

The updated mapping takes effect immediately for new syncs. Existing open sales orders are not changed; they keep the fulfillment location that was set when the order was imported.

How do I handle cancellations and returns?

Cancellations and returns are not synced automatically. You will need to update inventory manually in Sutton after processing a return to keep your stock levels accurate.

I updated an item's price or name in Sutton. Will it update in Shopify?

No. Item detail edits made in Sutton are not pushed to Shopify. Updates to product names, descriptions, or prices need to be made directly in Shopify.

How is the stock quantity calculated?

Available quantity = stock on hand − quarantined inventory − committed inventory. You can check this for any item by opening it from your Items or Inventory table, then going to the Inventory tab on the item detail page; the Available figure there matches what syncs to Shopify. If the available value is negative, Shopify is updated to 0 (Sutton never pushes negative quantities).

Does Sutton's Committed Inventory sync to Shopify?

No. Shopify calculates and maintains its own Committed Inventory figure independently; Sutton's Committed value is not pushed to it. Your Available quantity (see above) is what syncs to Shopify as normal.

Troubleshooting

"Account linking expired, please try again" when connecting

You have approximately 5 seconds to click the Install link in Shopify before the session expires. Simply start the connection process again the second attempt will complete successfully.

Orders are not appearing in Sutton

Check your Start date and order statuses in Settings → Integrations → Shopify. Orders sync approximately every 10 minutes, so allow a short wait after making changes.

Fulfillments are not syncing to Shopify

Check that: (1) Sync order fulfillments with Shopify is set to Push fulfillments from Sutton to Shopify, (2) the shipment's Sutton location is mapped to a Shopify location, and (3) the Sync fulfillments toggle is on for that location in the Locations table.

Fulfillments from Shopify are not appearing in Sutton

Check that: (1) Sync order fulfillments with Shopify is set to Pull fulfillments from Shopify into Sutton, (2) the order was created after you switched to this option, (3) the Shopify location is mapped to a Sutton location with the Sync fulfillments toggle on, and (4) the fulfillment doesn't contain serialized items, which are skipped. Fulfillments sync every 10 minutes, so allow a short wait.

Stock levels are not syncing to Shopify

Check that: (1) Push stock levels to Shopify is enabled, (2) the item has a unique, matching SKU in both Sutton and Shopify, (3) the Sutton location is mapped to a Shopify location, and (4) the Push stock levels toggle is on for that location. If all of the above are confirmed and sync is still not working, contact your Customer Success Manager.

Stock levels aren't syncing for a specific item

If stock levels aren't syncing correctly for an item, check that the item has a SKU set in both Sutton and Shopify, and that the SKU exists exactly once in each system. Items with missing or duplicate SKUs may not sync stock levels correctly.
