Am I Ready to Enable Fulfillment or Stock Sync?

Confirm your setup is ready before turning on fulfillment or stock sync for your Shopify integration.

Before pushing fulfillments from Sutton to Shopify

Make sure the following are true for your setup:

✅ Your Shopify orders are synced to Sutton as sales orders

✅ You use Sutton to fulfill all shipments every shipment is completed in Sutton, not directly in Shopify or another system

✅ You understand that Sutton will not receive fulfillment updates made directly in Shopify

✅ You have mapped at least one Sutton location to a Shopify location.

Do not push fulfillments if:

  • You fulfill orders from multiple systems (for example, partially in Sutton and partially in Shopify or a 3PL).

This could create duplicate fulfillments in Shopify, and any fulfillments completed outside Sutton won't be reflected in Sutton, which can lead to overselling.

If you fulfill orders in Shopify, choose Pull fulfillments from Shopify into Sutton instead.

Before pulling fulfillments from Shopify into Sutton

Make sure the following are true for your setup:

✅ You fulfill orders in Shopify
✅ Your Shopify orders are synced to Sutton as sales orders
✅ You have mapped at least one Sutton location to a Shopify location
✅ You understand that only orders created after you switch will sync
✅ You understand that shipments made in Sutton will no longer be pushed to Shopify
✅ You understand that cancelling or editing a fulfillment in Shopify won't sync, and you'll need to update the shipment in Sutton
✅ You understand that if a mapped location doesn't have enough stock, Sutton adds a stock adjustment with the reason Fulfillment sync to cover the shortfall
✅ Your orders use standard items, or alias items that fulfill a standard item. Fulfillments with serialized items are skipped.

Do not pull fulfillments if:

  • You fulfill orders in Sutton (pick, pack, and ship). Choose Push fulfillments from Sutton to Shopify instead.

With pull selected, shipments you complete in Sutton aren't sent to Shopify, so those orders will stay unfulfilled in Shopify.

Before enabling stock sync

Enable stock sync if all of the following are true for your setup:

✅ Sutton is your source of truth for inventory all stock is tracked and managed in Sutton

✅ All items you want to sync have unique, matching SKUs in both Sutton and Shopify

✅ Your current Sutton inventory quantities are accurate and ready to be pushed to Shopify

✅ You understand that Shopify returns and manual Shopify adjustments will not sync back to Sutton and must be updated manually

✅ You have mapped at least one Sutton location to a Shopify location

Do not enable stock sync if:

  • Your inventory is split between Sutton and another system

  • Your Sutton quantities are not yet accurate.

Enabling stock sync immediately overwrites your Shopify inventory with Sutton's numbers. If your Sutton counts are wrong, your Shopify storefront will show wrong availability too, which can cause overselling or stockouts.

FAQ

Can I enable fulfillment sync without stock sync, or vice versa?

Yes. The two are independent. You can choose any fulfillment sync option with stock sync on or off, depending on your workflow.

What happens if I enable stock sync and my SKUs are not set up correctly?

Their stock levels will simply be skipped and won't sync. Make sure your SKUs are set up before enabling to avoid items being excluded.

If I disable stock sync later, what happens to my Shopify inventory?

Shopify will keep the last quantities that were pushed from Sutton. Disabling stock sync stops future updates; it does not revert your Shopify inventory to any previous state.

A customer returned an order. What do I need to do?

Returns are not synced automatically. After processing the return in Shopify, you will need to manually update the inventory quantity in Sutton to keep both systems accurate. If stock sync is on, Sutton's quantity will be pushed back to Shopify on the next sync.

What does "committed" inventory mean in the quantity calculation?

Committed inventory is stock that has been allocated to open sales orders but not yet shipped. It is subtracted from your in-stock quantity to give you your available quantity, the number that gets pushed to Shopify. You can see this breakdown in the Inventory → Items table in Sutton.

I enabled stock sync, but my Shopify quantities haven't updated yet. What should I check?

Allow up to 5 minutes for the initial sync to complete. Then check that: (1) the item has a unique, matching SKU in both systems, (2) the Sutton location is mapped to a Shopify location, and (3) the Push stock levels toggle is on for that location. If everything looks correct and the sync still hasn't updated, contact your Customer Success Manager.

I fixed a SKU mismatch, or linked a Sutton item to a Shopify item that was created after the fact; why hasn’t the stock quantity updated?

Stock sync only triggers when an item's quantity actually changes in Sutton (check the item's History tab to confirm). Fixing a SKU link or creating a matching Shopify item doesn't trigger a sync on its own. To trigger a sync you have two options:

  • Toggle stock sync off and back on in your integration settings (re-syncs everything)

  • Adjust the item's quantity in Sutton and set it back (syncs just that item). Duplicate SKUs will keep failing until they're made unique.
